THE STAFFGPT FIELD GUIDE
Build your AI workforce, one clear step at a time.
Follow these screen-by-screen walkthroughs to hire one or more AI employees, create a custom department, and connect a computer for local AI work.
Each screen is an illustrative guide to the current interface. Button names and availability can vary by account, plan, and product updates.
01 / Hire AI employees
Hire one employee—or assemble a team.
Choose a department, review the employee cards, and add the people you need. You can repeat the same hire flow for every teammate.
- 1
Departments
Open a department
DO THIS
From the main navigation, open Departments. Choose the department that matches the work you want help with—such as Marketing, Engineering, Finance, or Sales. On its page, scroll to the employee roster.
WHAT HAPPENS NEXT
Each employee appears as a card with a role, skills, and degree badge. Use the employee summary to confirm you have the right specialist before hiring.

Employee card → Hire
Start a hire and choose a work mode
DO THIS
Select Hire on the employee card. In the dialog, pick Cloud for hosted work, Local for a paired local machine, or Hybrid for a combination. Read the short mode description before you confirm. If the dialog recommends a lead or dependency, consider adding that role too.
WHAT HAPPENS NEXT
The employee is added to your team. If your active-seat limit is full, the UI explains that the hire is saved but inactive rather than silently activating an over-limit seat.

DO THIS
Return to the roster and hire another employee if needed. When finished, open Workspace → My Team. Review each employee’s department, work mode, and active or inactive status. Use the employee’s change-mode control if you need to switch Cloud, Hybrid, or Local later.
WHAT HAPPENS NEXT
Your hires appear in My Team. The seat meter shows how many active seats are in use; an inactive hire can be activated when capacity becomes available.

02 / Create a custom department
Build a department around your workflow.
Define a department, give it a lead and one or more named AI employees, then review the generated team before creating it.
- 1
Plugin / Custom Departments
Open Build a Department
DO THIS
Sign in, open the custom-department area, and choose Build a Department. If you do not see the option, check that your account is on an eligible plan. Start with a specific department name and a short description of the work it owns.
WHAT HAPPENS NEXT
The three-stage setup opens: Details, Team, and Review. The step indicator shows your current stage.

Describe the department and set visibility
DO THIS
Enter a department name and a description of at least a few sentences: what the team does, who it serves, and what good work looks like. Choose an icon and name the orchestrator (the team lead). Select Private if only your account should see it, or Public if it should appear in the public department list. Choose the displayed billing cycle and continue.
WHAT HAPPENS NEXT
The wizard validates required details before moving to Team. Private departments stay in your own custom-department area; public departments can be listed for other visitors.

DO THIS
Add at least one specialist and give each a useful role name. Use Assign levels to preview the generated codename, role, skills, and degree for each person. Adjust names or the department description and re-run the assignment if the team does not fit. Continue when the roster looks right.
WHAT HAPPENS NEXT
You see a proposed team list with a role, skill summary, and degree for each specialist. The wizard keeps your details when you move back to revise them.

DO THIS
Check the department name, visibility, billing cycle, and every assigned role. Read the estimate and demo-billing note. If anything is wrong, go back to Details or Team. When it is correct, confirm creation.
WHAT HAPPENS NEXT
StaffGPT creates the custom department and opens its department page. A private department is visible to its owner; a public one may be shown in the public departments list. The department’s own team can power its studio workflow.

03 / Pair a local AI machine
Connect a computer for local AI work.
Register the machine in StaffGPT, run its Desktop Agent installer, and check each readiness tier before assigning Local work.
- 1
Main navigation → Machines
Open Machines and choose your setup path
DO THIS
Open Machines while signed in. Use the one-click installer for a standard workstation; the download includes a fresh, single-machine pairing credential that expires after five minutes. For manual setup, click Add Computer, optionally name it, then choose Create pairing code and keep the code visible—the code is single-use and expires after five minutes. Expand Advanced to download the Desktop Agent and follow the pairing command shown there.
WHAT HAPPENS NEXT
The setup panel offers installers for Windows, macOS, and Linux. The manual path shows a pairing code and command; request a new code if the five-minute window expires.

DO THIS
Download the installer on the actual computer you want to connect, not on a different device. On Windows, open the downloaded setup file. On macOS or Linux, unzip the download first and open StaffGPT-Setup. Follow the on-screen prompts and allow it to install the per-user agent/runtime prerequisites it needs; the installer does not require an administrator password.
WHAT HAPPENS NEXT
The Desktop Agent pairs the machine and runs in the background. Return to Machines; the machine should appear in the registered list. If the code expires or setup stops, start a new installer download to generate a fresh pairing credential.

Confirm pairing and inspect readiness
DO THIS
Wait for the machine status to show Active — Online. Expand its readiness checklist. Review Hardware, Local runtime, Model installed, and Ready to run. If a tier is incomplete, use the reason shown to troubleshoot that specific prerequisite; do not assume a capable GPU means a model is installed.
WHAT HAPPENS NEXT
A healthy machine reports its readiness tiers separately. Once execution is ready, go to the employee’s department and choose Local or Hybrid when hiring or changing the employee’s work mode.

Use the machine with a Local or Hybrid employee
DO THIS
Pairing is only the machine connection. To route an employee’s work locally, hire that employee in Local or Hybrid mode—or change an existing employee’s mode—and make sure the account’s Local Runtime feature is enabled. Start with a low-risk task and confirm the agent is online before relying on it.
WHAT HAPPENS NEXT
The employee card and Workspace team list show the chosen work mode. If the runtime is disabled or the machine is not execution-ready, the UI continues to show that prerequisite rather than implying local work is available.
